A GLS technology and operations platform
Your centre keeps teaching. My Happy Tutor runs the admin.
Hiring made simple
My Happy Tutor provides trained, dedicated administrative support for tutoring centre operations. Directors get a reliable back office without the cost, time and risk of recruiting, training and managing admin staff themselves.
Coverage window
Cover that lands when your centre is actually busy.
Tutoring centres do not run on office hours. My Happy Tutor is staffed across the afternoon and evening block, which is when parents message, sessions run and problems surface.
Coverage is Monday to Friday, 12:00pm to 8:00pm. Saturday and Sunday are not covered.
40 staffed hours a week
Eight hours a day, five days a week, dedicated to your centre rather than shared across a pool.
Chat first, not phone first
Parent communication runs primarily through chat and messaging, which keeps a written record of every commitment made.
One admin, one centre
Your admin learns your students, your tutors and your term structure. Multi-centre operators can add admins per site.
Scope, drawn clearly
What your admin owns, and what deliberately stays with you.
Outsourced admin fails when the boundary is vague. This one is fixed and written down, so nobody is waiting on someone else to pick up a task.
Handled by My Happy Tutor
Seven standing responsibilities, carried every operating day.
- Invoicing and billing. Issuing, chasing and reconciling against sessions actually delivered.
- Payroll processing and reconciliation. Including configurable pay rules, such as withholding pay for hours with no lesson notes submitted.
- Compliance tracking. Working With Children Checks, expiry dates and supporting documentation kept current.
- Tutor recruitment screening. Shortlisting, checks and onboarding support so hiring does not stall.
- Parent communication. Day to day queries, scheduling changes and updates, handled through chat.
- Absence handling. Follow up on missed sessions before they turn into lost enrolments.
- Daily coordination. Working alongside your centre manager on the day's operations.
Stays with your centre manager
Deliberately excluded. These are judgement calls and revenue conversations that belong to your team.
- Sales enquiries and sales calls. New family enquiries are a conversion moment and stay with the person who owns the relationship.
- Discount and pricing decisions. Your admin can prepare the numbers. The decision remains yours.
- Teaching, tutoring and academic judgement. My Happy Tutor is an operations function, not an education function.
- Final hiring decisions. Screening and shortlisting are handled for you. The appointment is signed off by the centre.
- Weekend and after-hours cover. Outside the Monday to Friday window unless separately agreed.
Capacity and cost
Work out what your admin function costs today.
One admin supports up to 200 students. Move the slider to see how many admins your centre needs and what the same coverage would cost in house.

My Happy Tutor pricing
Total wages above the payroll tax threshold
- My Happy Tutor
- Comparable in house
- Indicative monthly saving
$1,000
per month, 1 admin, excluding GST
$3,273 to $3,801
per month, fully loaded salary plus on-costs. That is $3,273 to $3,801 per admin.
$2,273 to $2,801
Around $27,277 to $33,612 a year, or 69 to 74 per cent lower, before the time and cost of recruiting, screening and training an in-house hire.
In-house figures are indicative estimates based on Australian market salary data for tutoring and education administration roles. They will vary by centre and should be confirmed against your own payroll data before you rely on them. Wages and on-costs are not subject to GST, so the in-house column is unchanged by the toggle above. My Happy Tutor figures are the published rate and exclude the one-off $2,000 setup and migration fee.
Before and after
Eight things that quietly consume a director's week.
Every line below came from tutoring centre operators describing where their own time goes. The right column is what changes on day one.
Recruiting, screening and training admin staff, then repeating it when they leave.
A pre-trained admin arrives already fluent in tutoring terminology, subjects and term dates.
Bank reconciliation and payment tracking done by the director, usually after hours.
Reconciliation is a standing daily task inside the coverage window, not a weekend job.
Fortnightly payroll assembled by hand, with errors that surface a pay cycle later.
Payroll is processed and reconciled to a repeatable method, with a second set of eyes on the numbers.
Tutors paid for hours where no lesson notes were ever submitted.
Configurable pay rules apply the condition automatically instead of relying on someone remembering.
Working With Children Checks tracked inconsistently, with expiries noticed late.
Compliance tracking is monitored continuously, so clearances and documentation stay current.
Absences noticed but not followed up, so families drift without anyone flagging it.
Absence follow-up is an owned task with a named person accountable for closing the loop.
Discount requests and money conversations pulling senior staff off higher-value work.
Routine billing queries are absorbed by your admin. Only genuine decisions reach you.
Admin quality varying between sites, so each centre runs a slightly different way.
The same trained function, the same method and the same reporting at every centre you add.
Time to value
Operational within two weeks.
Admins are trained in tutoring operations before they are assigned, so onboarding is about learning your centre rather than learning the industry.

Where it sits
Three platforms, three different jobs.
GLS platforms are often confused with each other. The distinction is simple: one manages your operations, one supports learning, and one supplies the person who does the work.
Software
My Teachers Aid
An AI-enabled learning platform supporting curriculum ingestion, question generation, adaptive pathways and student progress. It faces students and teachers.
Software
My Happy Life
A configurable operations platform for calendaring, invoicing, quoting, staff hours, dashboards, assigned training and reporting. You or your team operate it.
Staffed service
My Happy Tutor
A trained person, dedicated to your centre, doing the administrative work itself. Not a tool you have to learn and staff. A function you hand over.
You are hereThe three work well together. My Happy Tutor admins are trained on My Happy Life, so centres running both get the platform operated for them rather than handed over with a login and a manual.
Questions directors ask
Before you commit.
See it against your own numbers.
Bring your enrolment count, your current admin cost and one process that frustrates you. We will show you how My Happy Tutor would handle it, and tell you if your centre is too small for it to be worth the change.
