Draft pending legal review
This page is maintained by Global Learning Solutions. It is a working draft prepared against the applicable Australian instruments and has not yet been reviewed by a solicitor. Highlighted items are facts GLS is confirming before this page is finalised.
Global Learning Solutions Pty Ltd (ABN 40 695 476 530) ("GLS", "we", "us") respects your privacy. This policy explains how we collect, hold, use and disclose personal information, and how you can access, correct or complain about it.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. GLS is confirming whether it is an APP entity by turnover or by exception; where it is not, we have chosen to comply with the Australian Privacy Principles as though we were.
1. What we collect
From enquirers and partners. Name, organisation, role, email address, phone number, state or territory, sector, and the content of your enquiry. Where you upload a tender document, brief or request for tender, we collect that document and anything in it.
From people who download our documents. Name, organisation, role, email address, sector and state, so we can send the document and understand who is using it.
From newsletter subscribers. Email address and your consent record.
From staff, facilitators and applicants. Contact details, employment and qualification history, referee information, Working With Children Check or equivalent clearance numbers and expiry dates, training and certification records, and observation and performance records.
From program participants. Where a school, council or service engages us, we may collect participant first names, year level or age group, attendance, participation notes and any access, medical or dietary needs the organisation tells us about. Exact participant fields are being confirmed per program.
Through our technology platforms. My Happy Life holds operational data for the organisations that licence it. My Teachers Aid holds curriculum content supplied by the organisation and student progress data. In both cases the engaging organisation decides what is loaded. What we hold, where, for how long and who can access it is documented per engagement.
Automatically from this website. Analytics and cookie use is being confirmed and will be named here, with a cookie notice added if applicable.
Sensitive information. We only collect sensitive information (including health information such as allergies or a disability affecting participation) where it is reasonably necessary for a program and with consent, or as otherwise permitted by law.
2. How we collect it
Directly from you through forms on this website, by email, by phone and in person. From the organisation that engages us, where they provide participant information so we can deliver a program safely. From referees and clearance registers when we screen staff and facilitators. We do not buy personal information and we do not collect it from public sources for marketing.
3. Why we collect it
To respond to enquiries and prepare proposals and tender responses. To deliver, staff and report on programs. To verify that people working with children hold current clearances. To operate and support our platforms. To send documents you have requested. To send you information about our services where you have consented, or where you would reasonably expect it and can opt out. To meet legal, insurance, child safety and contractual obligations.
If we cannot collect the information we ask for, we may not be able to respond to your enquiry, deliver a program or place a facilitator.
4. Who we disclose it to
- The organisation that engaged us, for reporting on their program.
- Our facilitators and staff, limited to what they need to deliver safely.
- Service providers who host or support our systems, under contract and confined to the purpose we engage them for.
- Screening bodies and regulators, where we are verifying a clearance or meeting a reporting obligation.
- Police, child protection authorities and reportable conduct regulators, where we are required or permitted by law to report a concern about a child.
- Insurers and professional advisers.
- A purchaser, in connection with a sale of all or part of our business.
We do not sell personal information.
5. Overseas disclosure
GLS is confirming the countries in which its hosting, email, CRM and AI providers store or process data. Any processing outside Australia is an overseas disclosure under APP 8 and will be listed by country here before this page is finalised.
6. Artificial intelligence and automated decisions
My Teachers Aid generates learning content from structured curriculum and material supplied by the engaging organisation. Generated content is reviewed by an educator before it reaches a student. We do not use automated processing to make decisions about your enrolment, employment, eligibility or any other matter that significantly affects your rights or interests without a human making the decision.
From 10 December 2026, APP 1.8 requires privacy policies to disclose any significant decision made wholly or substantially by automated means, along with the kinds of personal information used. This section is reviewed before that date.
7. How we keep it secure
We hold personal information in access-controlled systems with role-based permissions. Uploaded tender documents are stored in a private location and shared internally only through time-limited links. Access to student and participant information is restricted to the people delivering or supervising that program. The specific control set (encryption in transit and at rest, multi-factor authentication on administrative accounts, logged access, staff training, supplier due diligence) is being confirmed.
If we suspect a data breach, we contain it immediately and assess it within 30 days at the outside. Where we have reasonable grounds to believe a breach is likely to result in serious harm, we notify affected individuals and the Office of the Australian Information Commissioner as soon as practicable.
8. How long we keep it
We keep personal information only as long as we need it for the purpose we collected it, or as long as the law requires. We then destroy it or de-identify it.
Retention periods are being set and will be stated here: unsuccessful enquiries; program participation records; staff and facilitator records including clearance verification; financial records; and child safety records, where state and territory requirements vary and can be substantially longer.
9. Access, correction and complaints
You can ask for access to the personal information we hold about you, or ask us to correct it, by contacting our Privacy Officer at info@glslearning.com. We will respond within 30 days. We may need to verify your identity. There is no fee to make a request, though we may charge a reasonable cost for providing access in some cases. If we refuse, we will tell you why in writing and how to complain.
If you are unhappy with how we have handled your personal information, contact our Privacy Officer first. We will acknowledge your complaint within five business days and respond substantively within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner: oaic.gov.au, 1300 363 992, GPO Box 5218, Sydney NSW 2001.
10. Marketing and unsubscribing
We only send marketing emails where you have consented or would reasonably expect them. Every email includes an unsubscribe link that works, and we act on unsubscribes promptly. You can also email info@glslearning.com to opt out.
11. Children and young people
Programs are arranged through the school, council or service that engages us, and consent for a child's participation is handled by that organisation and the child's parent or carer. We collect the minimum participant information needed to deliver safely. A parent, carer or the engaging organisation can ask us what we hold about a child and ask us to correct or delete it by contacting info@glslearning.com.
12. Changes to this policy
We review this policy at least annually and update it when our practices change. The current version is always on this page with its last updated date.
